The Call for Proposals is now closed.

All confirmed presenters should by now have received the email_presenters_March email providing important information on how to participate as a presenter at the conference. If you did not receive this email, please download the instructions here: Email for Presenters re: Registration, AV and Room Setup.

Proposal Review Process

  • Blind Reviews by the Conference Committee took place during the month of February 2005
  • Acceptance emails were sent on 14 March, 2005

Confirmation of Attendance

  • You must confirm your participation in the conference by registering no later than May 31st, 2005.
  • All presenters are responsible for their own expenses to, from and during the conference

Registration

  • All registration fees are due and payable upon registration. Regrettably we cannot accept post-dated cheques.
  • There are no subsidies available from IERG for this event. If you require financial assistance we suggest you contact your home institution or employer.
  • Presenters who have not registered by May 31st will be removed from the program. Presenters are advised to contact the Conference Coordinator immediately if they will not be able to meet this deadline but still wish to participate.

Letters of Invitation

  • On a case by case basis, Letters of Invitation will only be sent to speakers who will be presenting papers at the IERG conference. If you are a Speaker, please contact the Conference Coordinator as soon as possible after you receive your acceptance to explain your situation.
  • If you are an international registrant, please use your receipt as proof of your conference registration if you need to apply for a Canadian visa.
  • We regret that we are unable to send Letters of Invitation to general conference registrants.

A/V equipment, Room Set up & Materials:

  • IERG will supply overhead projectors and screens in each room. Presenters are responsible for the costs of any other AV equipment that they need.
  • Presenters should contact the Conference Coordinator to make arrangements for onsite A/V equipment. We will coordinate the rental of equipment for you at a reduced cost. Please download the A/V fax back form from here. Please fax this back to Conference Coordinator at (604) 268-7014.
  • Presenters may also bring their own equipment. If bringing your own equipment, we strongly recommend that you contact the Coast Plaza in advance to confirm technical requirements.
  • All room set up and AV arrangements must be complete by June 13, 2005. After June 13, 2005 presenters are responsible for coordinating their own A/V equipment rentals.
  • All rooms at the Coast Plaza Hotel are equipped with Internet access. You must request access in advance so that arrangements can be made on your behalf. You must arrange for access with the Conference Coordinator in advance of June 13th, 2005.
  • Presenters are expected to duplicate any handouts at their own expense. We are unable to guide you on how many handouts to make since we cannot estimate how many people will attend individual presentations. There is a Business Service Centre in the Hotel for those who wish to avail themselves of this service. Please contact the Hotel directly for costs.
  • Presenters requiring wireless internet should set up an account at http://www.fatport.com/

Language of Delivery:

  • English
  • Translators or translation services are not available.

Chairing:

  • All presenters will be asked if they are willing to chair a session(s).
  • This is not compulsory but definitely adds to the collegial atmosphere when presenters participate in this way.

Scheduling of the Program

  • A tentative program is now available.
  • The Programming Committee will not consider special scheduling requests. If you believe that you have a special circumstance that should be considered separately you must contact the Conference Coordinator prior to June 13, 2005. The IERG cannot promise to accommodate any special programming requests.

Proceedings

  • Accepted Virtual Papers should be submitted prior to 1 July 2005 so as to be available during the conference.
  • The final deadline for submitting documents for publication in the proceedings is 31 August 2005.
